Who is responsible
Presence Pro decides how and why your information is used, and is the “controller” under UK data protection law. Contact: hello@presencepro.co.uk.
Cookies
This website sets no cookies, runs no analytics or advertising trackers and loads no fonts or scripts from other companies, so there is no cookie banner. Stripe's checkout and billing pages, which are run by Stripe, set their own cookies; Stripe explains these on its pages.
What we collect and why
If you contact us
The name, email address, hotel website and message you send. We use them to reply and, if you become a customer, to run your account. Our legal basis is our legitimate interest in answering enquiries, or, once you subscribe, performing our contract with you.
If you subscribe
Your name, email address, billing details, hotel name and website, and your subscription status. Stripe takes the payment and keeps your card details; we receive only what we need to run your subscription (for example your name, email, plan and payment status). We keep invoicing records for as long as the law requires.
If you use the chat assistant
The questions you type are sent to our server and to an AI service (Anthropic) so that a reply can be written. We do not store the conversation. We keep only counters (how many replies, an estimated cost) and, briefly in memory, your internet address to limit how many messages one visitor can send. Please do not put personal or confidential information in the chat.
If you are a customer
The website address, hotel name and town you give, and the results, all drawn from public sources, are saved so a hotel can be tracked over time. Reports are sent only to the customer they are for. If you upload a review export, its text is analysed for that run only and is not saved; reviewer names are never read; only counts and rates are kept.
When you visit this website
The website is hosted by GitHub Pages. Like any web host, GitHub receives your internet address and browser details when your browser asks for a page, and handles them under its own privacy statement. We do not receive that data from them and do not use it.
Who else handles your information
- Stripe, for payments.
- GitHub, which hosts this website.
- Render and Neon, which host the report tool and its database.
- Anthropic, whose AI is used for the chat assistant and for sampling AI answers and reading hotel pages in reports.
- Our email provider, for the messages you send us and we send you.
Some of these are based outside the UK. Where that is so, they rely on recognised safeguards for international transfers. We do not sell your information or use it for advertising.
Your rights
You can ask us to show you, correct, delete or restrict the information we hold about you, to move it to another provider, or to stop us using it where we rely on legitimate interest. Write to hello@presencepro.co.uk. If you are unhappy with how we handle your information you can complain to the Information Commissioner's Office at ico.org.uk.
Changes
If we change what we collect in a way that matters, we will update this page and, for customers, tell you by email.
